Every corporate event planner knows the feeling: three weeks before the event, you realize something critical was never booked, a contract was never signed, or a stakeholder was never briefed. This checklist exists to prevent that. It is organized into six timeline phases, each with specific action items grouped by category. 12 to 9 Months
Phase 1: Strategic Foundation

Strategy and Objectives

Define event purpose, business objectives, and measurable KPIs
Identify target audience and ideal attendee profile
Determine event format: in-person, hybrid, or virtual
Establish the event planning committee and assign roles
Set the overall event budget with contingency (10 to 15%)

Venue and Date

Research and shortlist 3 to 5 venues based on capacity, location, and budget

Phase 3: Registration, Content Finalization, and Production

Registration and Attendee Management

Launch registration (early bird pricing if applicable)
Set up registration platform with data collection fields
Configure badge printing and check-in systems
Plan VIP registration and concierge experience
If applicable: open hotel room block for attendees

Content Finalization

Confirm all speakers and panelists; sign contracts

Phase 4: Final Logistics and Rehearsal Planning
